Invoice & Document AI Extraction

Stop manually typing supplier
invoice PDFs into QuickBooks.
Automate extraction.

We build workflows that turn supplier invoices into structured data, check the numbers, and route exceptions for review. Accounting drafts or exports depend on your software and available access. We agree on document types, acceptance tests, delivery, and support in a written scope.

Invoice extraction needs more than text recognition.

Supplier layouts, multi-page tables, credit notes, and poor scans can make extraction unreliable. Measure your own invoice volume and handling time before estimating a benefit. Test a representative set of documents, including the awkward ones, before approving a production workflow.

A scoped workflow can include:

  • Structured extraction. Extract agreed fields such as supplier, invoice number, line items, tax, and totals. Handwriting and low-quality scans need explicit testing; no format or accuracy level is assumed.
  • Validation and duplicate checks. Check totals, required fields, and supplier/invoice identifiers against agreed rules. Discounts, rounding, tax, credit notes, and retries need their own test cases.
  • Review before posting. Route uncertain or unmatched records to a named reviewer. Purchase-order matching, accounting drafts, and source attachments are included only where the destination supports them and the scope specifies them.

How automated invoice extraction works

01

Ingest PDF Invoice

Receive invoices through the agreed inbox, folder, or upload route, with access and retention rules defined.

02

AI Parse & Math Check

Extract agreed fields, check totals and duplicates, and flag missing or ambiguous information for review.

03

Draft in Accounting

After required review, create a draft or export in the supported destination. Confirm what the accounting API can write before building.

What to bring to an invoice automation review

  • A representative sample set, including credit notes, multi-page invoices, and failed scans. Remove sensitive details where practical.
  • Monthly document volume, handling time, and the fields your team actually needs.
  • Your accounting product and edition, available API or export options, and the person who can approve access.
  • A named reviewer, acceptable error thresholds, duplicate-handling rules, and a fallback when the destination is unavailable.

How does automated invoice PDF extraction work?

The workflow receives documents through an agreed route, extracts specified fields, checks totals and duplicates, and sends exceptions for human review. Approved data becomes an accounting draft or export where the destination and agreed scope support it.

What happens if a supplier sends a blurry or unusual PDF?

Unreadable or incomplete documents should go to a review queue. Test representative samples and agree on field-level acceptance criteria and a manual fallback before launch. An extraction model can make mistakes; a confidence score alone is not an accuracy guarantee.

What accounting software can you connect with?

We assess QuickBooks Online, Xero, and other accounting or ERP systems during scoping. Compatibility depends on the product edition, API access, permissions, and required actions. QuickBooks Desktop or systems without a suitable API may need a supported connector or reviewed file export.

How much does invoice PDF automation cost?

Indicative project budgets are $2,500 to $7,500 for a focused invoice parser. This is a planning range, not a quote. Document variation, volume, accounting access, review screens, and reconciliation affect scope and delivery. Software, processing usage, and ongoing support are specified separately.
